Annual Scheduling Meeting
NCNCA Promoters,
On behalf of the NCNCA Member Clubs and Board of Directors, thank you for promoting an event or multiple events for our members. We will be holding the 2011 Season Scheduling Meeting on Monday, November 1st, 2010. We are working to secure a location in the San Francisco/Presidio area and will keep you updated as those plans are finalized.
What To Do:
Request a form to submit your schedule request. Please fill out the form and e-mail it back as an attachment as a reply to this e-mail address (bnicely@pacbell.net). The deadline for returning this form is October 25, 2010.
What To Expect:
All requests will be placed on a private, on-line master schedule. Every effort will be made to accommodate all requests but experience has shown that there will be schedule conflicts. Conflicts will be resolved based on policies currently being formalized. These policies will include rules about multiple events of the same type on the same date, guidelines related to availability of officials and perhaps other forms of prioritization such as historical longevity and/or size.
a sizeable non-refundable deposit fee for races that are scheduled after the annual meeting.
The scheduling meeting will be where the final schedule will be presented and adopted. Please note that if you have outstanding fees for 2010 races you will not be permitted to reserve a 2011 schedule spot.

This is what we used for Masters Natz track and it worked fine. Like bunny said, it only lets you reg for what you are eligible for.

i used the usac reg for masters road nats and it seemed to work just fine
and since they had access to my license information, it was physically impossible to register for a category i wasn't eligible for--it only gave me the options i was eligible for
i have heard some issues with masters cross nats reg--apparently some people are being charge $10 for a license inappropriately--but they are also getting a prompt refund. i don't know what the bug was there....

My understanding is that the USAC system has access to ALL USAC data. In the past, only SBO has had this access which is why they had the monopoly on registration/results (over other systems like active and bikereg).
Has anyone had experience with the USAC system as an athlete? Feedback?
Bill tells me he has invited USAC to the meeting. Let's hope they attend.

What is the reg fee compared to SBO's 10%?

BTW, since we all know what SBO can do (or can't do), it would be more interesting to me to have someone from USAC come to the annual meeting and demo their new system.

Followed the stories but haven't checked it out. Did you notice when you sign in to the USAC site (with your license #) there are now links there for it? They said it would be live for promoters Dec 1, other than for championships, but I haven't heard anything yet about setting it up for an event or what the costs might be.

2011 NCNCA Race Calendar Status
As of today there have been 106 events calendared. We anticipate an additional 15 events to be added (held an event this past season, haven’t submitted for 2011).
The events currently on the proposed schedule include:
24 Road Races (not counting Hill Climbs)
7 Stage Races (Sequoia Classic, Merco (P/1/2 only), Madera, Top Sport, Chico, Kern (Women only), Red Peloton)
2 Omniums (Tour de Nez (date not confirmed), Folsom)
3 NRC Events (not finalized)

7:00 to 9:00 - Scheduling Meeting (preceded by brief business meeting including BAR/BAT Award Presentations)

Take Page Mill Rd. exit
At end of exit ramp take Page Mill Rd. toward Palo Alto
At second light, turn left onto Junipero Serra
At second light, turn right onto Campus Drive East
Follow Campus Drive for about 3/4 mile
Turn left on Bowdoin and left into parking.
From 101
Take Embarcadero exit toward Stanford
Embarcadero crosses El Camino Real (Hwy. 82) and enters the university
Embarcadero becomes Galvez Mall; follow Galvez Mall
Turn left onto Campus Drive East at stop sign
Follow Campus Drive for about 1 mile
Turn Right on Bowdoin and left into parking.
From the East Bay (via Dumbarton Bridge)
84 West (Dumbarton Bridge - toll westbound) to University Ave. (left turn)
Take University Ave. through East Palo Alto, across 101, through downtown Palo Alto
University Ave. crosses over El Camino Real (Hwy. 82) and enters the university
University Ave. becomes Palm Drive; follow Palm Drive
Turn left onto Campus Drive at stop sign
Follow Campus Drive for about 1 1/4 miles
Turn Right on Bowdoin and left into parking.
Parking--Free after 4pm.
Surface and below ground parking near the intersection Campus and Bowdoin, ramp down into the parking (4 level parking is under grass field) is on the short drive (left) between Bowdoin and Campus. From parking turn west (towards hills) and head down Bowdoin to the corner of Bowdoin and Galvez. Cross Galvez and CERAS building is just ahead on your left.
101 events are now on the proposed calendar. I expect a few more requests to trickle in for the next week. We have received interest from different promoters to host championship events. We will continue to receive requests until October 25th and then last minute requests along with Championship bids at the Scheduling Meeting on November 1st. I will post exact meeting details tomorrow. We are meeting on the Stanford Campus on November 1st.
85 events have been received and calendared. There are no current conflicts and almost all of the road race and stage races have been scheduled. Reminders have been sent to every promoter that had a race in 2010 but has not submitted a 2011 request(s).
For promoters who have submitted your event(s), you can send me a personal note and I will send the preliminary calendar in iCal format for you to review. This is for planning purposes and is NOT to be shared publicly as it has not been approved.
This is just an idea.
Perhaps allow those who have already submitted to view the calendar, and make it available to the others only after they submit their dates.
There are a couple of things coming up for late April and early to mid May. There is communication between a couple promoters besides the Wente issue, and I would like to see if my alternate date has any conflicts before I make any promise or request a date change. "Need the info".
There are 75 events scheduled, including 24 road races (27 this year - by comparison SCNCA puts on 8 road races and OBRA puts on 12 road races each year) and five stage races (Chico, Madera, Top Sport and two that are in the works for NRC bids - they cannot be announced until USAC gives the go ahead). There is currently only one outstanding minor conflict that I am confident will be resolved. I will contact promoters who held races this year and who have not submitted requests during the next week (mostly criteriums and time trials).
There have been 70 events (there were about 110 events permitted this season) placed on the 2011 calendar so far with only two potential conflicts. I have sent notes to a couple of promoters and anticipate resolving those matters quickly. If you haven't heard from me and you have submitted a request then there is good news, so far.
I have added events that I know are coming my way (Davis 4th of July, Memorial Day Crit as examples). As I get additional requests I will keep everyone involved or effected updated. I think when I reach about 90 events or October 20th, whichever comes first, I will make the calendar available to promoters who have submitted requests. Please let me know if you have alternate ideas related to handling this process.
good points made by all. I do not want to travel to SF on a weeknight from Sonora and I would also like to see a schedule ahead of time. We can probably have most of the issues worked out before the meeting.

Promoters and Other Interested Parties,
A few quick updates . . .
1) The Presidio as a meeting site has turned into a no go. Currently looking at Hayward/Oakland area for the meeting. Will keep you updated.
2) We will not be supporting a on-line attendance at the meeting because of the distraction and number of people involved.
3) My comments about privacy were not intended to be permanent, just until the initial framework of a schedule is completed. I expect to have a rough draft available by Monday, if not sooner.
4) NO championship events have been decided for next season. When all requests are received and proposals to host championship events are reviewed/discussed any potential conflicts will be part of that discussion.
Please understand that this is my first scheduling meeting.
I am trying to coordinate getting requests from as many promoters as possible for the first draft while recovering from shoulder surgery last Thursday. No excuse, just explaining the reason for the apparent delay.
I will try to post regular updates from now until the meeting so everyone knows what is happening. Please make sure that your account is clear with Tad if you have any doubts as this will slow the process.

The Axeman and Velogirl make sense. When Casey was president, he'd try to discourage promoters overloading a particular weekend before making the calendar public, BUT the calendar was made available to promoters ahead of time. One year our club moved our race because there were three crits scheduled for the same day.
It would be good to see who has put in for what dates sooner rather than later. There is already a potential conflict with Wente needing to move this year. It's hard to really know what the options are without the information.

I'm curious about the decision to keep the preliminary calendar private until the meeting. In the past, this calendar has been available to promoters and has allowed us to see any potential conflicts BEFORE the meeting. This allowed promoters to communicate and negotiate in advance and I'm sure this contributed to a speedy process at the annual meeting.

Will there be any downside to attending the meeting online instead of in person?

Kevin - thanks for bringing that up, agree would not be good to have both championships on the same weekend at opposite ends of the state.
I was quite surprised when I saw it announced that it would be in the Presidio in SF. As much as I'd like to have the meeting in SF & not have to drive, I have to agree with Warren that it's not too convenient for the rest of the NCNCA, especially since the Presidio is no where near BART.

The proposed location in SF is hard to get to for a substantial number of NCNCA road event race organizers, especially during the evening. I suggest a location in the east bay area, perhaps near Hayward. This will provide reasonable access from all directions.
I have one small concern.
Rumor has it that Pescadero will be the masters district road race championship. On occasion, in the past Pescadero has been on the same weekend as the district TT. Please do not put them back to back if they are both championship events.
